Product documentation needs a dedicated owner when recurring user needs require sustained research, writing, organization, and maintenance. The role is more than editing sentences after engineering finishes a release.
Start with the tasks users struggle to complete and the knowledge they need.
Map the documentation backlog
| Need | Work involved |
|---|---|
| Getting started | Identify prerequisites and a useful first outcome |
| Task guidance | Explain how to complete a specific workflow |
| Reference | Keep precise details accurate and findable |
| Troubleshooting | Help users distinguish causes and choose next steps |
| Conceptual explanation | Build the understanding needed for decisions |
| Maintenance | Update material when product behavior changes |
Google’s technical writing guidance emphasizes the gap between what an audience already knows and what it needs to perform a task. That is a useful starting point for defining the writer’s work. Google technical writing: audience.
Define access to expertise
A writer needs product access, technical reviewers, and a way to verify instructions. If nobody can answer questions or review accuracy, the documentation mandate is incomplete.
Clarify whether the person will run examples, inspect APIs, manage a documentation system, or focus on a different audience.
Assess a task, not just prose
Provide a fictional feature description and an incomplete guide. Ask the candidate to identify missing information and improve a small section for a defined reader.
Look for audience judgment, accurate sequencing, questions about prerequisites, and a verification plan. Attractive prose cannot compensate for instructions that do not work.
Separate documentation from promotion
Technical documentation should help the reader accomplish a task and understand limitations. Marketing content serves a different purpose.
A writer may contribute to both, but the role should state the balance and how technical accuracy is protected.
Establish maintenance ownership
Define how product changes trigger documentation updates and who reviews them. A growing collection of stale pages can become harder to trust than a smaller, maintained set.
